Minutes of the MMC meeting in Baden Baden

The meeting was hosted by SWR, on 15 and 16 May 2003

1. Apologies to be present in this meeting were sent from Annemieke de Jong, Mike Cox, Nancy Cole, Nisicler Figueira, Wahid Braham and Herbert Hayduck (Johannes Kraus represented ORF).

2. Wolfgang Dehn welcomed all delegates on behalf of SWR and made a short presentation of SWR in Baden Baden and about their archive activities there. This presentation was followed up by a discussion and concern of 10 lost members during the last year. Reasons to this could be that members do question the benefits of belonging to FIAT, what do they get back from this membership. Most of the meetings are in Europe whereas lot of other Archive orientated organizations, working groups, seminars and projects go on all over the world today.

3. The minutes of the MMC meeting in Stockholm 31st january 2003 was approved.

4. The last version of the Brussels conference program was as followed discussed and updated point by point. The original structure presented and approved in the Stockholm meeting is approved and now in more detail finalised. The first day is the Television History Day, the second is International Projects Day and the third is Back to the Future Day. In general the program content looks fairly good already now and no major changes have to be done. The new conference program is on the FIAT/IFTA web site.

During the film preservation Workshop on Sunday afternoon there will be a demonstration of the newly developed (in INA) Film splicing machine. The machine will be installed in the Metropole Hotel.

A new workshop will be on Tuesday afternoon. The workname is "Case Studies for Migration and Preservation of Videotapes". Short presentations and overlook of practical issues of digitalisation and preservation strategies from BBC, RAI, YLE, RTE….will be followed up by a roundtable discussion around practical issues such as strategies, funding, techniques, priorisation, scheduling and companypolicy. Richard Wright will organise this workshop.

5. MMC have been asked to generate a FAQ list to be presented in FIAT/IFTA:s website. The first concept created in the Stockholm meeting was considered and the meeting agreed to delegate the answering of the questions as follows :

  • What to take into consideration when using 4:3 material in 16:9 productions? (Henry)
  • How to archive web material ? (Annemieke and Eva-Lis)
  • What is the difference between DVCAM and DVCPro ? (Jacqui)
  • What does MXF and AAF and similar file formats stand for ? (Jacqui)
  • What is Media Asset Management, Rights Management, Metadata,UMID…? (Jacqui and Eva-Lis)
  • What is a Datamodel ? (Giorgio)

The short answers should be sent to Henry by the end of June 2003.

6. If accepted (June 2003) the Presto Space project will start in january 2004. There will be an "Advisers Board". The coordinators of the project would like to have FIAT as such representated in the Board. Someone from FIAT need to be appointed to this board. The nomination was discussed but MMC decided to return to this when the project has been accepted.

The coordinators of Presto Space are planning a workshop on user needs, ideally around March 2004. They would like to twin it with a FIAT meeting, maybe a MMC meeting. This joint meeting must be discussed on next MMC meeting when a decision upon Presto Space have been done.

7. JTS 2004 have asked MMC to propose conference program ideas to the international symposium in Toronto 24-26 June 2004. The following suggestions was proposed by the MMC meeting :

  • Presto Space Project
  • Digitizing of old material - practical experiences RAI, SVT, YLE, BBC…
  • Buiding up storage systems
  • Combine search systems between radio and TV
  • Migration between Radio and Television archives - Media archives
  • Globally usable Metadata standards
  • Educational needs for the changing process in our jobs due to new tech.
  • Need for powerful research tools

8. Nisicler's Survey on Digital Archives was discussed. There have also been a P&P Commission questionnaire and a RAI questionnaire. MMC recommends that somebody collects all these three results and combines them and puts only one on the web, just for clarity.

9. MMC propose that the Television Award shortlisted programmes should be launched on the web so that all conference delegates can watch the competing programmes in advance. This is a showcase what new technology can offer. RAI is ready to do the work. The suggestion was presented to EC. Due to copyright questions the proposal was not accepted directly. The rights questions have to be clarified before the programmes can be launched in the web.

10. A Seminar for documentalists was proposed to be arranged, a Media management and Metadata FIAT/IFTA seminar for documentalists.

The seminar proposal was presented to the EC the following day and was approved. A working group for this seminar was appointed: Eva-Lis Green, Jacqui Gupta, Giorgio Dimino and Annemieke de Jong.

11. Please send new Project proposals to Henry for the next years budget planning before the Brussels conference preferably before the middle of July so that they can be circulated before the next EC meeting.
